Privacy & Cookies
Last updated 2 October 2026 (the Seasonal Box and gifts added).
This notice explains what HERITAGE London (“we”) collects when you visit inheritage.online, why, and what you can do about it. We collect as little as we can and never sell it. If anything here is unclear, write to info@inheritage.online.
What we collect, and why
- Registering your interest. Your email address, which fragrances you asked after, when, your founding place number (if you hold one), and the advertisement (if any) that brought you. We use it to confirm a founding place and to write when pre-orders open. Basis: your consent, which you give by registering.
- Letters from the House. Your email address, if you choose to join (it is never ticked for you). We send up to four letters a year, and your first order carries a 2 ml sample of another of our fragrances. Basis: your consent.
- Sending us a memory. Your memory, where and when it was (if you say), your first name (if you give it), whether we may credit you, and your email address, so that we can confirm it arrived and write to you if we choose it. By sending it you allow us to use and adapt it to create a fragrance, as the terms on that page explain; we never publish your words or your name without asking you first. Basis: our contract with you (the terms you agree to when you send it).
- The Consultation and the contact form. Your answers, or your message, name and email, so that we can reply. Basis: our legitimate interest in answering you.
- Orders, once pre-orders open. Your name, address, email, telephone number and what you ordered, so that we can make, send and support your order; payments are handled by our payment provider and we never see your full card details. Basis: our contract with you, and the law (we must keep sales records).
- The Seasonal Box. If you join, the bottles you have had, your Consultation answers and any note you give us, so that we can choose each season’s bottle for you; and a record of the terms you agreed to (the time, your order and your internet address). Basis: our contract with you.
- Gifts. The recipient’s name and delivery address, and your message, used only to wrap and deliver the gift; the maker and fulfilment house see them for that purpose. Basis: our contract with you, and our legitimate interest in delivering the gift you sent.
Who sees it
- Hostinger, who host this website and its database.
- Meta, only if you accept marketing cookies (see below).
- Once orders begin: our payment provider, and the maker and fulfilment house who pack and post your order (your name and delivery address only).
Some of these companies process data outside the United Kingdom. Where they do, they rely on the UK’s adequacy regulations or the International Data Transfer Addendum to protect it.
How long we keep it
- The register of interest: until we have written to say pre-orders are open, and six months after, unless you remove yourself sooner (every email has the link).
- Memories: until we have chosen one (by 31 March 2027), and six months after; the chosen memory, and its sender’s details, for as long as the fragrance it inspired is sold. Every confirmation email has a link to remove yours sooner.
- Letters from the House: until you unsubscribe. We then keep only your address on a suppression list, so that we never write again by mistake.
- Orders: six years, as the law requires for business records.
- The Seasonal Box: for as long as you remain a member, then six years, with your orders.
Your rights
You may ask for a copy of what we hold about you, ask us to correct or delete it, object to our using it, or withdraw your consent at any time; withdrawing does not affect what we did before. Write to info@inheritage.online and we will answer within a month. If you are unhappy with our answer, you may complain to the Information Commissioner’s Office at ico.org.uk.
